Privacy policy

This explains what PonnoShare Ltd does with your information. We are the data controller for it, under UK data protection law.
What we collect

We do not store full card numbers. Card details go directly to our payment processors and never reach our servers.
What the licence check sends
Our software contacts our licence server periodically to confirm your licence is valid. That request contains your licensed domain, your server IP address and your licence key.
It does not send your customer list, your billing data, your panel credentials, your API keys or anything about the services you sell. We have no access to your WHMCS database and no way to see who your customers are.
Why we are allowed to hold it
- To perform our contract with you — your account, your licence and your support.
- To meet legal obligations — keeping invoices and accounting records for the period UK law requires.
- For our legitimate interests — preventing licence abuse and fraud, and keeping our software secure.
Who we share it with
We do not sell your information and we do not share it for advertising. We pass it only to the companies that let us run the business:
- Payment processors, to take payment and issue refunds.
- Our hosting provider, which stores the servers our systems run on.
- Our accountants, for tax filings and statutory accounts.
We will also disclose information where the law requires it.
Where it is held
Our systems run on servers in the United States. Where information moves outside the UK we rely on the safeguards the law provides for those transfers, including standard contractual clauses with our providers.
How long we keep it
- Account and licence records: while your account is open, then 12 months.
- Invoices and payment records: 6 years, as UK tax law requires.
- Support tickets: 2 years after the ticket is closed.
- Licence check logs: 90 days.
Your rights
Under UK data protection law you can ask us to give you a copy of your data, correct it, delete it, restrict what we do with it, or send it to another provider. You can also object to processing we do on legitimate interests grounds.
To use any of these rights, open a ticket at ponnoshare.com/billing/contact.php. We reply within one month.
Some data we must keep even if you ask us to delete it — invoices, for example, because tax law requires it. We will tell you if that applies.
If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
This website does not set tracking or advertising cookies. Our client area at ponnoshare.com/billing uses cookies that are needed to keep you logged in and to hold your basket. Those cannot be turned off without breaking the site.
Security
Connections to our sites are encrypted with TLS. Access to customer data is restricted to the people who need it to do their work. No system is perfectly secure, but if a breach affects your data we will tell you and the ICO as the law requires.
Changes
We may update this policy. The date at the top shows when it last changed. If a change materially affects you, we will tell you by email.
